Dear Club Presidents,

I am writing to inform you of a significant improvement that The Rotary Foundation (Canada) is making

to our tax receipt process. Beginning with contributions to the Rotary Foundation (Canada) received

from January 1, 2015, we will wherever possible issue tax receipts electronically. This new process will

apply whether a donation is made on-line or mailed to us. This will speed up the receipt process and

substantially reduce operational costs, especially in light of escalating postal rates.

We will only be able to send a tax receipt electronically to those Rotarians who have registered their

email address with Rotary International. This is done by individual Rotarians, registering themselves with

“My Rotary”

at rotary.org. Many Rotarians have done so, but there are others who have not and some

may have changed email addresses since they first registered. I would ask that you encourage Rotarians

to register with

“My Rotary” if they have not already done so and to check their profile to ensure that

Rotary has their current email address. That will be most helpful.

We appreciate that not all Rotarians have an email account and we will continue to issue paper copies of

their tax receipts and forward by regular mail. Please also note that due to legal requirements certain

types of donations, such as Estate Gifts and Non-Cash Gifts will continue to receive paper receipts.

Please also note that tax receipts for all donations received during the 2014 calendar year will be mailed

including those donations made through Rotary Direct and for which tax receipts will be issued prior to

March 1, 2015.

We are confident that the tax receipt system we are utilizing will work well but in the case of any error

or missing or lost receipts, Rotarians should contact, David Prowse in our Ontario office.

Please find enclosed some commonly asked questions and answers to which you may refer Rotarians. It

will be posted on the TRF(Canada) website for future reference.

Yours in Rotary

Richard Clarke

President
